The Edit Correction dialog appears during scanning when the following conditions are met:
The edit profile you select for this scanning operation may contain validation tests or other criteria to which the documents must conform. Examples are the presence of data in mandatory fields and the absence of multiple marks.
If a document fails an edit profile test, ScanTools software queues the failing document record for online editing. The Edit Correction dialog enables you to review and correct the error before the document record is saved to the data file. To correct each error as it occurs using the Edit Correction dialog, use the following steps:
If the failed field is set up as an optional correction in the edit profile, you can click Next Field without changing the text. The status in the Field window for this field will change from Failing to Viewed. When all the failed fields in the record are viewed, the record will be removed from the online edit correction dialog. The record will be accepted by the data file with any changes made or not made.
NOTES:
If Reject record is specified as
an Edit Profile Program Action for a failing document record and online
edit correction is being used, then Reject record is silently ignored.
The failing record is queued for online edit correction and written to
the data file. See On Failure dialog.
For Image Scanner Implementation Only:No image clips appear
during online edit correction.
Because online edit correcting occurs during the scanning process, there are some limitations and things to consider when performing this operation:
The following is a description of the items displayed in the Edit Correction dialog:
This area lists the name of the field or fields that have failed the verification criteria set up in the edit profile. You can change the first field listed, then press the Enter key or click the Next Field button to move to the next failing field. The current edit status is listed after the name. It can be one of the following:
Failing - the data in the field does not pass the edit criteria. The explanation of the failing condition is listed in the text box near the bottom of the dialog. This is the status for every field when the dialog first appears.
Corrected - the data has been changed using the data editor so that in passes the edit criteria.
Viewed - the field has been accessed by the editor, but not changed or corrected. Usually, the user has clicked the Next Field button without changing the current field.
When a field is changed to Corrected or Viewed, it is no longer Failing. If there are no Failing fields remaining in a record, the record is no longer available to the editor. If you have to make any further changes to the data record, you would have to do it manually, see Editing Data Files Manually.
The serial number of the currently displayed record based on the starting serial number you have set up in the Scanning Options dialog.
The Display Field contents as selected in the Output Field Entry dialog of the Application Definition.
The total number of records, including the currently displayed record, in the edit queue needing your correction.
This group box contains two items:
The text box shows the failing text string. Click the cursor in this box and correct the field text. The Offset display below, shows the number of the character within the field that your cursor is on.
An asterisk (*) indicates a double mark.
When this is checked, spaces in the data record appear as special characters (| or ¦).
This shows the position number of the character within the field that your text cursor is currently placed.
Press the Insert key on your keyboard to toggle between typing over characters in the text string and inserting characters in the text string. The setting (Typeover or Insert) appears in the middle of the Online Edit Correction dialog. The cursor must be placed in the Text box.
Availability of Typeover and Insert function depends on the data type being edited:
CAUTION: Use caution when inserting. The last character of a field is deleted for each character you insert. This may result in loss of data.
The error description area shows a description of the edit failure. The description is based on the edit defined for this field in the edit profile.
This moves you to the next failing field. If you are at the last failing field when you click Next Field and all mandatory corrections are completed, you will automatically be moved to the next record.
This moves you to the next record in the queue. If a mandatory edit is defined, the failure must be corrected before this button is available.
