Field and Element List Area

View a list
of the fields that will be included in the ScanTools software output record. It includes the following:

Fields (Folders)
- Each folder is a field
that you defined in your form for an OMR response grid or a bar code.
This definition is done in the Modify Response Grid - Scanning dialog for OMR and the Modify Caption Text - Scanning dialog for bar code.
- The field name is what
you defined in the Scanning dialog. If you want to rename the field, click
on it to highlight it and then edit it. If you rename the field in the
Modify Field Attributes dialog, it will automatically be updated in the
Scanning dialog.
- The number in parentheses
to the right of the field name is the field number.
- The fields are listed
in the order you defined them. This order determines the field order in
the ScanTools output record. If you want to change the field order in
the output record, use drag and drop to select a field, drag it to a different
place in the list, and drop it where you want it. The field number will
change automatically.
- The + sign to the left
of the field name indicates that a grid or bar code is associated with
the field. Click on the + sign to display them. The + sign changes to
a - sign when the elements are displayed. Click on the - sign to close
the field folder.
- Click on a field to highlight
it. The attributes for fields containing OMR grids are automatically displayed
in the Field Attributes area to the right. There are no user-defined Field
Attributes for bar codes.

Elements (Grids or Bar Codes)
- Click + to
the left-hand side of the field name to display the element(s)
associated with the field. Each "page" is an OMR response grid
or a bar code element.
- Each element is identified
as a "Grid" or a "Bar Code," based on what you defined
in your form. Fields cannot contain both grid and bar code elements.
- For grids, coordinates
are provided that indicate its location on the Scantron DesignExpert
workspace relative to the top left of the page. For example, "11
x 4" indicates that the grid starts at the 11th response position
from the left and the 4th response position from the top. Response rows
that are not associated with a timing mark are not counted. This information
is useful when your form design contains a large number of grids and fields
and you need to make sure you are associating the correct grid with a
field.
- The number in parentheses
to the right of the element name is the grid or bar code number within
the field. A field may have more than grid associated with it. A field
may only have a single bar code associated with it.
- If more than one grid
is associated with a field, the grids are listed in the order you defined
them. This order determines the data order in the field. If you want to
change the grid order in the field, use drag and drop to select a grid,
drag it to a different place in the list, and drop it where you want it.
The grid number will change automatically. If desired, you can use the
same technique to move a grid to a different field.
- Click an element to
highlight it. The attributes for this element are automatically displayed
in the Element Attributes area to the right.
Select a list item to define the data type for a field and edits,
if any, that will be performed on this field. The data type information
is included in the ScanTools application and the editing information is
included in the edit profile when you use Export to ScanTools. Field Attributes
can be defined for OMR response grids but not for bar codes.

Field Data Type
|
Specify the type of data that will be stored in the field
in the ScanTools output record. Choices are:
- Alpha-Numeric
includes any printable characters.
- Numeric
includes the digits 0 through 9.
- 1
Digit Item includes the same characters as alphanumeric. Each character
in the grid is treated as if it were a separate field when the data is
processed. For example, 1-digit fields have edits that define the number
of omits and multiples, rather than left-justified, right-justified, etc.
Also, 1- or 2-digit item is the required data type for items that will
be scored in ScanTools.
- 2
Digit Item includes the same characters as alphanumeric. Each character
in the grid represents a 2-digit item. The two digits are treated as a
unit for processing purposes after they have been written to the data
file. Also, 1- or 2-digit item is required for data types that will be
scored in ScanTools.
- Date
includes a numeric field (0-9) that is four, six, or eight characters
in length. ScanTools software stores date information in the following
date formats:
- mmyy
- mmddyy
- mmddyyyy
In ScanTools, this information appears, and can be modified,
in the application definition Output Field Entry dialog Name area.

Include Edit
|
Define an edit for this field.
The items you select here are used for creating the ScanTools edit profile.
This is not enabled for bar code fields.

Edit. If your application requires Partial
Edit, Graybox Edit, or
Always Edit, you must modify your
Edit Profile in ScanTools software.

Cannot be Blank
|
Specify whether or not the field
must have data.
If checked, the field must have data; if there is no data, it is considered
an omit, and is flagged for editing.
If clear, there does not have to be a data character in this
field; that no response (omit) is acceptable. This is the same as Can
Be Blank in ScanTools software.

Correction
|
Specify whether data must be valid: Choices are:
- Optional
means you do not need to correct invalid data; you can leave it uncorrected
in the data file. You are prompted for correction by the editor,
but you can proceed without correcting.
- Mandatory
means that invalid data is not acceptable for this field and you must correct
the data before it is written back to the data file. If Mandatory is selected,
and you are performing online editing, you must correct the data before
you can proceed.

Completeness
|
Specify whether the data must be complete. Choices are:
- None
means the completeness of data in the field is not checked.
- Left
Justified means the responses positions marked on the document
must start with the leftmost position; can contain no multiple marks;
and must be contiguous (no omits).
- Right
Justified means the responses positions marked on the document
must start with the rightmost position; can contain no multiple marks;
and must be contiguous (no omits).
- Complete
means every position in the grid must have a response marked. A complete
field contains no multiples and no omits.
- No
Multiple Marks means each response position in the grid may not
contain more than one mark for each position.

you must modify your Edit Profile in ScanTools software.

On Failure
|
The items under this group contain data that is written
to the ScanTools edit profile regarding what ScanTools and the scanner
are to do when an edit failure occurs.
Program Action
|
Specify what action ScanTools software
takes when it encounters a failing document record.
- No
Action stores the document record without further action. You must
select this option if you are performing online editing.
- Flag
Record marks the document record for editing later.
- Reject
Record discards the document record.
Compatible with ScanTools No
Program Action, Clip field/Flag
record, and Reject document
program actions.

Print Action
|
Define what information the scanner's transport printer prints on the form when this edit failure occurs. The
items selected here are printed regardless of the program action selected
above. Options are:
- String
- specify that the character string you enter in the text box
next to the check box is to be printed on the document when the document
fails an edit. You can enter a maximum of 10 characters.
- Print
Field Contents - specify that the the contents of the failing
field is to be printed on the document when the document fails an edit.
Compatible with ScanTools Print
String and Print Field Contents print actions.

Scanner Action
|
Specify what action(s) should be performed
by your scanner upon rejecting a document record. Choices are:
- No
Action - scanning continues
- Stop
Scanner
- Send
to Primary Select Stacker and Stop
- Send
to Secondary Select Stacker and Stop
- Send
to Primary Select Stacker
- Send
to Secondary Select Stacker
Compatible with ScanTools scanner actions of the same
names.

Element Attributes
|
View details about the selected
grid or bar code and adjust certain settings. This area displays information only when you select an individual grid or bar code
element within a field folder. The contents of this area change,
depending on which you have selected. The information
displayed is from the Scanning tab for the appropriate response grid
or caption text. If you change the information here, it will automatically
be updated in the Scanning tab.
Grid
Data Type
|
Select the type of data associated with this grid. This is the same information that you select on the Modify Response Grid - Scanning tab.
NOTES
- Any change you make here
will also take effect in the Modify Response Grid - Scanning tab.
- Linked grid sections
must all be of the same data type.
- In ScanTools, this information
appears, and can be modified, in the application definition OMR Tools
dialog Type area.
Choices are:
Alpha No
Space
|
No leading space, A-Z. Only one mark allowed.
Compatible with ScanTools Alphabetic,
no space data type.
|
Alpha-Numeric (includes special characters)
|
Leading space, A-Z, 0-9, special characters [ . < ( + \ & ! $
* ) ; ^ - / , % _ > ? : # @ ' = ". Only one mark allowed.
Compatible with ScanTools Alphanumeric
data type. Note that the comma (,) is not included on the Scantron DesignExpert
screen display or printout but does Export to ScanTools.

BCD (Binary Coded Decimal)
|
A five position string similar to binary. The first four positions are
consecutive powers of 2, and the highest order position is used for parity
checking (odd parity). The five positions represent 1248P. Only the decimal
values 0 through 9 can be represented; 10 through 15 cause ScanTools to
write an asterisk (*) to the output record. Multiple marks allowed.
Compatible with ScanTools BCD
data type.

Binary
|
Each position represents a consecutive power of 2. The first is 1, the
second is 2, the third is 4, the fourth is 8, and so on. Multiple marks
allowed. The value of the output equals all the marked responses added
together. For example, marking the first (1), third (4), and fifth (16)
positions produces 1 + 4 + 16 = 21 as the value for the grid.
Compatible with ScanTools Binary
data type. Note: The ScanTools
Binary (Scoring) data type is
not available in Scantron
DesignExpert software.
|
Binary with Parity
|
Each position represents a consecutive power of 2. Multiple marks allowed.
The highest-order position can represent a parity bit (odd parity). Like
binary, the value of all the marked responses, except the last one, is
added together.
Compatible with ScanTools Binary
with Parity data type.
|
Litho-Code
|
Unique serial numbers. Each position represents a power of 2. Multiple
marks allowed.
Compatible with ScanTools Litho-code
data type.
|
Mark All That Apply
|
The grid must be a single row or column and can have as many marks as
there are response positions. Mark = 1, No mark = 0. The edit type of
NONE is usually used with this selection. This type of grid is commonly
used for surveys. Note:
Linked grids cannot use a Mark All That Apply data type.
Compatible with ScanTools custom translate
table; automatically created during Export to ScanTools.

Numeric
|
0 - 9. One mark allowed.
Compatible with ScanTools Numeric data type.
|
One Digit Response
|
1 - 9. One mark allowed.
Compatible with ScanTools One digit response data type.
|
Two Digit Response
|
01 - 99. One mark allowed. Each response generates two characters of
output.
Compatible with ScanTools Two digit response data type.
|
Use Custom Designators
|
The characters defined in the custom designator set are used to create
a translate table in ScanTools software. A translate table enables you
to define a custom data type for a grid. The custom designator type name
is used for the translate table name. Each individual designator character
becomes an entry in the translate table, in the same order as the designators
are defined.

table; automatically created during Export to ScanTools.

Linked to Next Grid
|
Treat two or more grids
as one grid, generating only one response string for the ScanTools application.
Select this check box on all grids you want linked EXCEPT the last grid in the list.
You cannot use Link if the Grid Data Type is Mark All That Apply.
Response grids that are linked must have the same characteristics
so they are properly defined in the ScanTools application. When you select
Export to ScanTools from the Tools Menu, Scantron DesignExpert
software checks the definitions of linked grids and reports any problems
with linked grid definitions. If there are any problems, the export process
does not produce any files for ScanTools.
The following characteristics must be met for any set
of linked grids:
- Field name and order
number must be the same for each linked grid section
- Grid data type must be
the same for each linked grid section
- Grid output length (number
of possible response positions) must be the same for each linked grid
section
- Grids with Mark All That
Apply data type can’t
be linked
- Linked grids must be
located on the same sheet. For New OMR File, this can include both sides,
front and back (example: page 1 and 2 are OK).

Grid details |
View additional information about the grid:
- Page - the document page where the selected grid or bar code
is located is displayed for your information
- Size - the size of the selected OMR response grid. It is measured in Horizontal x Vertical grid units.
A grid unit = an OMR response position. This information is not available
for bar codes. For example, "6 x 10 grid units" means the grid
is 6 response positions wide by 10 response positions tall.
- Position - the location of the upper left response position of the
selected OMR grid. It is measured in
Horizontal x Vertical grid units. A grid unit = an OMR response position.
CAUTION:
If you move or position a response grid so that it is located entirely
off the document work area, it is automatically deleted from the document.
If a response grid is located so that any part of it is in the document
work area, it is not deleted, and will appear as a grid in the Modify
Field Attributes dialog.
- Spacing - Spacing of response positions.

Barcode
Number of Characters
|
The number of characters ScanTools should expect to read
in the bar code field. The number of characters does not include the bar
code start and stop characters. Any change you make here will also take
effect in the Modify Caption Text - Scanning tab.

Page
|
View the page of the document where this bar code is located.
|
