Extended Edit Options dialog

This dialog appears when you are creating or editing an edit profile. If you have an edit defined (Partial Edit, Full Edit, or Always Edit), and select Extended Edit Options from the Edit Profile - Edit Type popup you see this dialog.

You can use this dialog to replace selected characters in a data field with other characters during editing. Replacement occurs immediately after the field is validated, either during or after scanning. You can define a maximum of four replacement operations per edit. The replacement operations occur in the same order as you define them in the list below.

For each replacement operation, you must define the range of valid responses to check (From/To), the type of replacement you want (leading, trailing, all, none), and the individual characters to use for replacement.

Value Range - From: / To:

Enter in these two text boxes alphanumeric characters indicating the range of valid responses for the field. If this is a numeric field, a digit must be entered for each character in the field. Example: The field is four characters long. The values "4" and "12" should be entered as 0004 and 0012. (Enter the same number of characters as the defined length of the field.)

Millennium Cutoff

This area of the dialog box appears only for date fields. It is used with the Value Range entries for a full edit on a date field that is a six-character date with a two-character year (mm/dd/yy). This is NOT USED on an eight-character date with a four-character year. Valid values are 0-99. The number you enter determines the breaking point between the twentieth and twenty-first century.

The millennium cutoff value is used both during scanning and later during editing, and performs identically for both actions. During scanning range checking of dates is done to see if a field passes or fails the edit; if it fails, it is flagged for editing. During editing, the same range and rules are used again, so that dates can be corrected if needed.

NOTE: The millennium cutoff allows you to continue using your forms that have two-character year grids. We encourage you to plan to move to four-character year grids with your next re-print or new forms design. If you do not move to four-character year grids, you may have to keep resetting this millennium cutoff value each year, or as appropriate for your processing needs.

The millennium cutoff interacts with the From and To dates a bit differently, depending on if both From and To dates are actually entered, rather than being left blank, and on which year date is a higher number. The following describes all possible cases and is followed by a table showing examples of these cases. The cases are described below,.

Both dates entered, cutoff entered

When the From and To years:

Years equal to and greater than the millennium cutoff are considered the twentieth century, 19xx.

Years less than the millennium cutoff are considered the twenty-first century, 20xx.

Both dates entered - From year is greater than To year, cutoff entered

From year is considered to be 19xx, and the To year is considered 20xx, and the millennium cutoff must equal the From year.

From date only entered, To date left blank, cutoff entered

The From year is determined according to the first case listed above; years equal to and greater than the millennium cutoff are considered the twentieth century, 19xx. Years less than the millennium cutoff are considered the twenty-first century, 20xx.

The To year during scanning is calculated by subtracting one from the cutoff value. Once the year is calculated, the month and date used are 12/31/xx. When cutoff = 0, To date becomes 12/31/1999.

To date only entered, From date left blank, cutoff entered

The From year during scanning is determined as the same year as the cutoff value, using the twentieth century; so the year is calculated as 19xx where xx = cutoff. The month and date used are 01/01/xx.

The To year is determined according to the first case listed above; years equal to and greater than the millennium cutoff are considered the twentieth century, 19xx. Years less than the millennium cutoff are considered the twenty-first century, 20xx.

If you enter a value for the millennium cutoff, you receive a confirmation message when you use the OK button to exit the Extended Edit Options dialog. The confirmation message shows "This is the range of valid dates that will be used during scanning". The From and To dates using the millennium cutoff entered are translated into the appropriate 8-character date so you can confirm this is the range you wanted. Example message: "All dates from 02/01/1950 to 03/01/2030" "Is this an acceptable range?" Yes and No buttons are provided with the message. If you agree with the range and select Yes, you exit the Extended Edit Options dialog. If you do not want the range and select No, you return to the Extended Edit Options dialog where you can continue to enter values.

Character Replacement Process

Use the fields in this group box to specify characters within the range to be replaced with other characters. The replacement character area is case sensitive. For example, if you enter a lower-case "m", only that character will be used, not the upper-case "M".

Character Replacement Process During Post-Scan Editing

Replacement of characters during editing occurs for different records based on the edit mode specified in the Edit Options, as follows.

ScanTools character replacement during post-scan editing is performed in the following sequence:

  1. All failing fields within a given record are detected.
  2. Character replacement is performed on the record.
  3. Records that still fail an edit after character replacement are presented to the user (the user sees the replaced data as the field data).
