NCS Header

The NCS Header is a 40-byte-long field at the beginning of every record in a data file (.DAT) produced by ScanTools during scanning. It contains information pertaining to the record it is part of. This information is useful for determining when and under what conditions the record was produced, and how it is related to other records in the file.

If needed, you can choose to include selected parts of the NCS Header in the data file. If included, these parts are in addition to the complete NCS Header that is automatically included. See the Literal Tool for detailed information.

When converting files, you can define in the conversion profile whether or not the entire NCS Header should be included in the converted file. If you have included selected parts of the NCS Header in the data file, they must be defined separately in the conversion profile. See Scanning Module Conversion Profile for details.

Application Number

The application that created the record. (000-999)

4 - 9

Serial Number

The serial number of the record.

10 - 12

Batch Number

The batch number of the document.

13 - 18

Date Scanned

The date the document was scanned. (MMDDYY)

19 - 21

Document Number

The number of the document that produced the record. (001-999)

Edit Status

The following values may be in this field:

  • <space> - Not Edited. Rrecord not edited, No action on edit failure, or "Clear all edit flags" used in Edit Options***.
  • N - Failed. One of the following situation occurred:
    • record failed edit (Flag on edit failure)
    • image data found in standard graybox
    • image data not found in standard graybox and REQUIRE KEY ENTRY
    • ICR/OCR confidence failure and REQUIRE KEY ENTRY
  • W - Waiting online edit correction only. Record failed edit, Correction mandatory, record not corrected, still needs correction
  • Y - Passed. One of the following situations occurred:
    • record did not fail edit
    • record was corrected and passed edit
    • "Accept as Good" or "Next" selected during post-scan editing

For online edits, REJECT and do not accept as is; the record is not written to the data file. See Stacker Select for details on how the edit pass flag affects booklet sheet processing.

23 Altered Since Scanned

The following values may be in this field:

  • N - Not Altered. One of the following situation occurred:
  • Y - Altered.

Grid Error Flag set

The following values may be in this field:

  • <space> - Yes. one of the following situations occurred:
    • record did not fail edit
    • record was corrected and passed edit
    • "Accept as Good" or "Next" selected during post-scan editing
  • > - No. One of the following situations occurred:
    • record failed edit
    • image data not found in standard graybox

Mark Threshold

The Mark Threshold used to scan the data.

Mark Discrimination

The Discrimination Margin used to scan the data.

Scanning Release Level

The version of ScanTools software used when the data in the record was scanned.

Output Stacker

The output stacker number equals the stacker where the last sheet was sent.

  • <space> - output stacker
  • 1 - primary select stacker
  • 2 - secondary select stacker

Run Number

The number of the run during which the data in this record was scanned.

Score Status

  • Scored
  • Not scored

Sheet Compile edit flags

This flag is set to "Y" if sheet compile-type edit flags are written to the field following the NCS Header in the record.

Record Marked Deleted

This flag is set to "Y" if the record has been marked as deleted. A deleted record is not processed when the data file is converted to a different format, edited, or scored.

Record Converted

The following values indicate the conversion status:

  • <space> - Not converted. Not scanned or converted by ScanTools, status unknown
  • N - Not converted. No file conversion
  • P - Converted after scanning. Post - scan file conversion
  • S - Converted during scanning. Conversion while scanning
